We are seeking a highly organized and detail-oriented professional to join our dynamic team at All Things Live Middle East, who can support us with ensuring a smooth organization and execution of events and day-to-day office administrative tasks.

As the Administrative Assistant you will support the CEO, Promoter Team and Business Manager with various administrative tasks and ensure the smooth and efficient operation of our office across all business functions. You will be responsible for overseeing various administrative tasks such as email and calendar management, managing office resources and assist with financial accounting duties such as invoices, local purchase orders, ledgers and budget overviews, as well as assist with programming and booking tasks.

Key Responsibilities:

  • Manage day-to-day office operations, including handling phone calls, emails and other communication
  • Maintain and update event documentation & databases, help track event budgets and payments
  • Assist the Programming & Booking Manager/Team with administrative and organizational task, liaising between all stakeholders
  • Maintain and update account ledgers, help with budget updates and supporting documents, prepare expense claims
  • Prepare invoices and local purchase orders and liaise with clients and vendors
  • Assist in scheduling and organizing meetings with clients, vendors and the team
  • Coordinate business travel for the team
  • Support client and vendor requests to ensure timely responses
  • Maintain the physical and virtual filing system
  • Assist with maintaining office and pantry supplies

 

Requirements:

  • A minimum experience of 3-5 years as an Executive Assistant and/or International Promoter Assistant at international promoter companies or with major artist agencies
  • Strong organizational skills and ability to manage multiple tasks simultaneously
  • Strong attention to detail and problem-solving abilities
  • Exceptional written and verbal communication skills with a proactive mindset
  • Ability to build strong work relationships across all levels of the business
  • Demonstrated ability to work autonomously and as a part of the team
  • Adaptability and flexibility to thrive in a dynamic and evolving work environment
  • High level of professionalism, integrity and discretion
  • Fluency in English
